Policies and guidelines for speakers at all NTGTS and CTC events. If
you have a topic you would like to submit, use our Speaker Application
form and we will evaluate your submittal for our future events.
- Authority for selection and/or retention of all speakers and moderators rests with the NTGTS Programs Committee.
While equity and fairness in selecting speakers and/or moderators from
various organizations and companies will be accorded, speakers and/or
moderators will be selected based upon their experience and
qualifications to speak on specified topics. The NTGTS Programs
Committee reserves the right to maintain or revise speaker and
moderator selections in the event that a confirmed speaker and/or
moderator are not suitable for the specified program.
- The NTGTS Programs Committee will provide preference to
committed sponsors, partners, corporate members, and/or exhibitors to
recommend speakers and/or moderators. Preference to individuals not in these categories will be provided as space permits including the NTGTS leadership.
- A SUBMISSION DOES NOT MEAN ACCEPTANCE. If a proposal is
accepted, the NTGTS Programs Committee Chair will contact the speaker,
moderator or Public Relations representative for confirmation.
- PUBLIC RELATIONS REPRESENTATIVES: A Public Relations
representative submitting on behalf of a client MUST have a commitment
from the speaker and/or moderator that he/she is proposing that the
speaker and/or moderator are qualified and are available to speak
during the program; at a time and date NTGTS designates.
- Once confirmed, the speakers' and/or moderators' name, title and company will be promoted in the event materials. Through
these materials, the speaker and/or moderator as well as NTGTS make a
promise to our attendees to deliver what we have published, including
the topic and the speaker/moderator.
- All speakers and/or moderators will be required to adhere to
all specified deadlines related to receipt of biographies, audio-visual
requirements forms, and handouts.
- Speakers and/or moderators are encouraged to arrive early (at
least one hour) prior to the program start to become acquainted with
each other personally and to familiarize themselves with the program
venue as well as the venue audiovisual equipment. Failure to adhere to
specified deadlines could result in the NTGTS Programs Committe
reevaluation of the assigned speaking activity.
Moderators
Moderators are expected to take the initiative and have an active role
in shaping their session. It is expected that the moderator contact
each of the speakers on their session prior to the event date to shape
the focus of the session. In general, the role of the moderator can
include but is not limited to the following: 1) managing the flow of
their session; 2) facilitating question and answer session; 3)
introduction of speakers; 4) adhering to allotted time; and 5) making
effective and relevant input in keeping with the theme of the overall
program and session.
Presentations
In most cases, PowerPoint presentations are the preferred method of
presentation. Selected speakers and moderators must agree to provide
NTGTS with a copy of any PowerPoint presentation utilized for
post-event NTGTS Web-site placement. Details on presentation guidelines
can be found in the NTGTS Speaker Guidelines and Style Document.
Sales presentations during NTGTS programs are strictly prohibited. Distribution
of sales and product materials during programs is strictly prohibited
unless authorized by the NTGTS Programs Committee. If it is determined
that a speaker and/or a moderator presented a sales pitch, that company
and speaker/moderator will be excluded from future events.
Substitution Policy
Speaker and/or moderator substitutions are not permitted, except in the
case of an emergency and subject to NTGTS Programs Committee approval.
If a speaker and/or moderator are forced to cancel, his or her company
is not guaranteed a speaking slot for the alternative speaker. NTGTS reserves the right to refuse to accept an alternative speaker, and pursue other interested parties to present that topic.
Note to Speakers and Moderators
As a speaker and/or moderator, you are entitled to attend the program
at no charge; your badge is your admission ticket. In addition,
speakers and/or moderators are responsible for their own travel and
lodging. NTGTS does not provide honorarium or travel reimbursement for speakers.
